Club booking procedures for 2026

How to Book

Firstly, your car club organiser completes the online application form below to register their interest in attending. Please only apply when you are ready to buy tickets.

Once we’ve received the application, we will contact the organiser and provide them with a unique online code that they can then forward to their members. Either the organiser or their members can use this code on the online ticket shop to book their club tickets at a discounted rate. The discounted rate is available up until 2 weeks before the date of the event (deadline on booking form). Your club pitch is not secured until all tickets have been bought. If no tickets have been bought within 4 weeks of submitting the form, the application will be disregarded, and you will need to complete the online club application again.

When members do this, they will be added to club stand booking list. Then, based on the final number of cars booked in, we’ll automatically allocate your club with an area of the right size. The club organisers will still need to keep updating their numbers with Santa Pod, as members book themselves in.

Terms & Conditions

  1. 1 – To qualify for a club, pitch your club must have a minimum of 5 vehicles.
  2. 2 – Your club pitch is only provisional until tickets are bought. You are required as a minimum to cover the entry ticket costs of the drivers. Although passengers will also need an admission ticket to attend. You can buy your tickets in bulk or share the code with your members
    E.g. 10 vehicles require payment of 10 tickets. 20 vehicles require payment of 20 tickets etc.
  3. - Location requests are not 100% guaranteed. Santa Pod Raceway will endeavour to meet location preferences, but disputes will not be entered in to.
  4. 4 - Any vehicles arriving at the venue without a club hanger will be directed to the public car park. Where hangers have been issued, the vehicles must be located within the confines of the allocated stand. Organisers’ will be sent vehicle hangers, and it is their responsibility to distribute them to members attending the show.
  5. 5 - No monetary refunds will be given.
  6. 6 - Santa Pod Raceway, and any staff acting on their behalf, reserves the right to refuse admission to any Car Club members.
  7. 7 - All display material and/or exhibition equipment shall be positioned within the confines of the reserved Club Stand.
  8. - No obscene material and/or display material and/or behaviour which could cause offence to visitors, other Car Clubs (and their staff) or Santa Pod Raceway (and their staff) will be allowed.
  9. 9 - Dealing in or using illegal substances is prohibited at Santa Pod, aligning with UK law.
  10. 10 - Food and/or beverages may not be sold from any Club stand under any circumstances.
  11. 11 - The distribution of leaflets is strictly forbidden. Posters or other promotional material must be distributed within the confines of the Club Stand area only.
  12. 12 - Only Club merchandise that matches the name of the club on this form can be sold from the stand.
  13. 13 - Car Clubs are responsible for the safekeeping of all products or other items on their Club Stand. Santa Pod Raceway will not be responsible in any way for the loss or damage to Car Club members’ property howsoever caused.
  14. 14 - 10 MPH SPEED LIMIT EVERYWHERE ON SITE Except for the drag strip of course! Please watch your speed when driving on-site. There are many people walking around especially young children
  15. 15 - No glass bottles, jars etc allowed on site. This is for you and your car's safety and especially for those in the camping areas. Any glass will be confiscated.
  16. 16 - No dogs or pets of any kind are allowed on site for any reason.
  17. 17 - ADVERSE WEATHER TICKET POLICY
    In case of certain events being severely affected by adverse weather, please retain your ticket as a credit value may be attributed to your ticket. Full details on http://www.santapod.co.uk/adverseweather.php
  18. 18 - No quad bikes, mopeds or any other unlicensed motorised vehicles are allowed on site. No E-Scooters – they are illegal!
  19. 19 - No independent sound systems are allowed on site. Any music should be played at a reasonable level, and all music should be switched off at 11PM.
  20. 20 - Medical assistance can be found at the Medical Centre, located at the bottom of the concrete ramp down the bank.
  21. 21 - Security will always be on site throughout the event to ensure that you have a safe and enjoyable time. Their instructions must be always followed. Please contact them in any emergency.
  22. 22 - No stunts, burnouts or donuts in roadways or campsites, any persons found doing so will be evicted off the site immediately.
  23. 23 - No fireworks or Chinese lanterns or aerial drones.
  24. 24 - Trakbak Racing Limited reserves the right to vary or amend these rules at any time without prior notice and to remove any visitor from site who does not observe these rules at any time without compensation.
